Our team is building a dynamic network to meet the changing demands for electricity and increasingly, renewable electricity – safely, securely and sustainably in the communities we serve.At SP Energy Networks, we know people are central to building a better future, quicker and we are seeking new talent to join our team.What you’ll be doingDocument Controller will support the Lead Document Controller with the day-to-day management of the document management system supporting regular reviews of the existing DMS and help implement any required changes to ensure that it remains “fit for purpose”.<ul><li>Act as the team contact for the Document Management System (DMS), including process oversight, training, communication, and system development.</li><li>Resolve DMS-related issues as they arise daily.</li><li>Manage and coordinate access and permission rights for internal and external users, ensuring access control is monitored and updated throughout the project lifecycle in line with business goals.</li><li>Manage digital document workflows using the DMS.</li><li>Organize and maintain project documents, ensuring compliance with the Integrated Management System (IMS).</li><li>Facilitate corrections to documents regarding template usage, revision control, structure, and approval.</li><li>Support ongoing review and development of DMS processes and procedures.</li><li>Conduct regular inspections to ensure the integrity of project documents, including templates, final files, and tender documentation.</li><li>Attend project Kick-Off Meetings and Scheme Team Meetings as required.</li><li>Administer records, drawings, and documents in accordance with SPT IMS and other specifications.</li><li>Establish and maintain project drawing registers and individual project document transmittals.</li><li>Collate, review, and coordinate final file documentation, ensuring integrity upon project completion notification by the Project Manager.</li><li>Coordinate final project archiving.</li><li>Prepare drawing comparators on PC projects and collaborate with the engineering coordinator to resolve any issues.</li><li>Upload Final File As-Built drawings to Vault.</li></ul>What you’ll bring<ul><li>HND or equivalent in a business-related discipline and/or previous Document Control experience.</li><li>Working knowledge of Document Management Systems, with emphasis on document control procedures.</li><li>Experience with ACC/Autodesk, ProjectWise, and SharePoint is highly advantageous.</li><li>Significant experience in a Document Control role for major construction or utility construction projects is desirable.</li><li>High degree of IT literacy and strong administration skills.</li><li>Ability to multitask, prioritize workload effectively, and work efficiently to meet deadlines.</li><li>Ability to interpret and present information in a logical and orderly manner.</li><li>Experience with ISO 9001:2015 Quality Management Systems and ISO 19650 (BIM) standards is advantageous.</li><li>Good interpersonal and communication skills, with the ability to form effective working relationships across departments and external partners.</li><li>Experience in final file/project handover processes is advantageous.</li><li>Ability to maintain project workbooks and databases.</li><li>Ability to develop and maintain relationships with project teams and contractors.</li></ul>Minimum Criteria<ul><li>HND level education.</li><li>Previous Document Control experience.</li><li>Excellent literacy and communication skills.</li><li>Proven ability to manage changing workloads and meet agreed timescales.</li><li>Proficiency in Microsoft Word, Excel, and a recognized database software package.</li><li>Knowledge of ISO 9001:2015 standards.</li></ul>What’s in it for you As well as a competitive salary which is reviewed annually, you can also enjoy a number of other benefits.
