Rebellyous Foods is seeking a full time Business Administration Manager who can manage and organize office operations and procedures. Duties include executive level scheduling, supporting all departments with a wide variety of tasks and projects with varying levels of difficulty, and independent problem solving. This position requires considerable coordination with other team members and outside notables. We are looking for a mission-focused individual who is excited to work collaboratively in a fast-paced start-up environment. This position reports directly to the Chief Business Officer. .  Responsibilities: <ul><li>Work closely with the CEO to coordinate daily scheduling, manage meetings, logistics and travel arrangements for conferences and speaking engagements.</li><li>Set up agendas for regular and ad hoc team meetings, run meetings, take meeting minutes, and follow-up on key tasks when necessary.</li><li>Screen contacts and meeting requests for executive level attention, at times taking preliminary meetings to gather information and report back to executives. </li><li>Coordinate tours, visits, and tasting events for outside partners and investors. </li><li>Research projects related to the industry of plant-based and animal-based meat to support critical decision making with respect to funding, policy, strategy, and more.  </li><li>Support the Chief Business Officer and CEO with investor relations, documentation coordination, and other duties as assigned. </li><li>Write first drafts of proposals, emails, and other correspondence, when necessary.</li><li>Create presentations and policies and train staff accordingly.</li><li>Create and track confidentiality agreements and other formal documents using Adobesign.</li><li>Request and manage insurance information, NDAs, credit checks and other documents are requested and for expiration.</li><li>Maintain, monitor and update a variety of databases and documents.</li><li>HR duties such as scheduling, correspondence, document preparation, payroll taxes, and other duties as assigned.</li><li>Assist the Controller with various financial tasks such as collections, payroll, audit requests, demand letters, data entry,  filing, reconciliations, and other duties as assigned. </li><li>Assist the sales team with trade show event coordination, order and track swag, and samples, update target lists, assist with bid completion, and monitor incoming company web inquiries.</li><li>Serve as a project manager for projects with longer term milestones and coordination. </li><li>Chair and lead committees as required. </li><li>Monitor daily schedules and vacation tracking for all staff. </li><li>Order supplies and provide snacks for staff, open, sort, scan, file, and distribute incoming correspondence, electronic or otherwise to ensure timely, accurate, and thoughtful follow up. </li><li>Run company errands as necessary. (mileage paid for) </li><li>Assist with facilities requests such as replacing soap in the breakroom, routine maintenance checks, or getting the door, etc. </li></ul>Qualifications:<ul><li>5+ years experience as business manager, administration office manager or executive assistant.</li><li>Proficiency in all standard G-Suite applications as well as MS Word, Excel &amp; Powerpoint.</li><li>Highly organized and independent approach to follow-up tasks. Ability to prioritize projects and strong problem solving skills.</li><li>Desire to work in a fast-paced, demanding food production, startup environment.</li><li>Ability to be flexible and willing to take on new tasks to support the CEO and team.</li><li>Excellent written and verbal communication skills.</li><li>Basic accounting skills such as bill pay, spreadsheet management or similar.</li><li>Ensure confidentiality related to sensitive company and/or employee information. </li><li>Exceptional experience completing tasks to a high standard of professionalism and attention to detail. </li><li>A passion to make the plant-based meat industry succeed. </li></ul> Physical Demands: Ability to stand for long periods of time, stoop, kneel, and reach regularly. Ability to lift, push, pull up to 35 pounds. Ability to travel by all means of transportation. Location: This is a fully in-person position, located in Tukwila.
