We are seeking a highly organized and proactive Government Relations Specialist to support and streamline the administrative operations of our Government Relations Team across the UAE. This role is key to enhancing internal efficiency and ensuring smooth coordination between branches. The successful candidate will be responsible for managing 100% of the team’s administrative workload, supervising the GRO Coordinators across the UAE, and collaborating closely with team members. Key Responsibilities: Administrative Ownership<ul><li>Own and manage all administrative processes related to government relations across AECOM’s UAE branches</li><li>Maintain and update trackers, logs, and databases (residence visa status, classification records, licensing renewals, etc.)</li><li>Coordinate the preparation, printing, and delivery of official documents/applications</li><li>Draft, proofread, and format internal and external correspondence</li><li>Organize and archive team documents digitally and physically, ensuring easy retrieval and version control</li></ul> Team Supervision<ul><li>Supervise and provide daily support to the GRO Coordinators across branches</li><li>Monitor task assignments, set deadlines, and follow up to ensure completion</li><li>Serve as a central point of contact for internal process consistency across branches</li><li>Assist the Government Relations Manager in implementing team-wide administrative standards</li></ul> Process Improvement &amp; Communication<ul><li>Create and maintain standardized templates and internal forms used by the GRO team</li><li>Flag process gaps and propose solutions for improved efficiency and compliance</li><li>Communicate effectively with internal stakeholders to gather and organize required documentation</li><li>Provide clear instructions and support to team members regarding admin procedures</li></ul> Skills &amp; Competencies<ul><li>Strong administrative and organizational skills with attention to detail</li><li>Proven ability to lead junior staff or coordinate multi-site teams</li><li>Excellent written and verbal communication skills</li><li>Proficiency in MS Office (Word, Excel, PowerPoint, Outlook, SharePoint)</li><li>Familiarity with UAE government platforms (MOHRE, GPSSA, GDRFA) is a plus</li></ul> Personal Attributes<ul><li>Proactive and solution-oriented</li><li>Highly dependable and discreet with sensitive documents</li><li>Strong time management and ability to prioritize tasks independently</li><li>Collaborative team player who can work across multiple locations</li></ul>
