What you will be responsible for:You’ll play a vital role in managing our accounts payable process, contract administration, and project financial workflows. You’ll work cross-functionally with Site Ops, Procurement, Finance, and Legal to ensure smooth and accurate payments, financial tracking, and compliance. What You’ll Do:Contract &amp; Change Order Management<ul style=""><li>Draft and route consultant agreements, work orders, and change orders via DocuSign.</li></ul><ul style=""><li>Maintain organized records for all project and consultant documents.</li></ul><ul style=""><li>Coordinate closely with Procurement and Site Ops to update Forecasts and Buy Out Logs.</li></ul><ul style=""><li>Review and approve subcontractor change requests; collaborate with Legal as needed.</li></ul><ul style=""><li>Experience implementing construction software systems and processes.</li></ul>Accounts Payable<ul style=""><li>Review and code project and non-project vendor invoices. Reconcile against contracts, POs, and prior payments.</li></ul><ul style=""><li>Route subcontractor billing for approval and payment; compare to Work Orders, SOVs, Forecasts, and change orders.</li></ul><ul style=""><li>Manage invoice entry and payment via Airbase, including ACH and virtual card (VCC) processes.</li></ul><ul style=""><li>Set up and maintain utility accounts for each project and manage monthly invoicing.</li></ul><ul style=""><li>Track and ensure vendor insurance compliance before payment.</li></ul>Vendor and Insurance Administration<ul style=""><li>Set up new vendors in Airbase and manage onboarding.</li></ul><ul style=""><li>Request and track certificates of insurance from subcontractors and consultants.</li></ul><ul style=""><li>Manage builder’s risk and property insurance throughout the asset lifecycle (acquisition, construction, sale).</li></ul><ul style=""><li>File and follow up on insurance claims as needed.</li></ul>Compliance and Financial Support<ul style=""><li>File and manage preliminary notices, conditional and unconditional lien releases.</li></ul><ul style=""><li>Support monthly Forecast-to-Actual reconciliations across projects.</li></ul><ul style=""><li>Maintain records of business licenses and property taxes.</li></ul>What You’ll Bring:<ul style=""><li>3+ years of experience in contract/subcontractor administration with prior accounts payable, project accounting, or construction experience is preferred.</li></ul><ul style=""><li>Proficient in NetSuite and Excel; Airbase experience a plus.</li></ul><ul style=""><li>Detail-oriented and highly organized, with great follow-through.</li></ul><ul style=""><li>Strong communicator who thrives in a collaborative environment.</li></ul><ul style=""><li>Comfortable working in a startup or fast-paced setting with evolving processes.</li></ul>What we offer:<ul style=""><li>Opportunity to join an outstanding start-up team and grow a purpose –driven company from the ground up.</li><li>Competitive salary package.</li><li>Medical/dental/vision benefits.</li><li>Equity in the company.</li></ul>At Aro Homes, we are focused on building a diverse and inclusive workforce.
