Maintains filing systems and digital databases for all relevant departmental documents. Ensures that all users have access to the latest revision of appropriate documentation in a timely manner. Also provides a variety of administrative functions and clerical support to the Engineering, Compliance and Quality functions (ensures equipment is maintained, supplies are appropriately stocked, creates and runs reports, etc.).Essential Duties and Responsibilities include the following. Other duties may be assigned.<ul><li>Examines documents such as drawings, change requests, specifications, and forms to verify compliance, completeness, and accuracy.</li><li>Confers with document originators or liaison personnel to resolve discrepancies and compiles required changes to documents.</li><li>Posts changes to records, releases documents, updates OEM parts in ERP system, and notifies affected departments.</li><li>Maintains databases of all filed documentation that ensures fast retrieval of documents.</li><li>Performs clerical typing duties to generate documents as necessary.</li><li>Provides documents upon requests.</li><li>Creates change documents (requests, orders, notices, etc.).</li><li>Creates part numbers and enters part numbers and BOMs in ERP system.</li><li>Liaises with Procurement and other relevant stakeholders on BOM issues and reports.</li><li>Creates, runs, monitors, tracks, corrects and provides updates on various department reports (change process, regulatory compliance, part obsolescence, time, etc.).</li><li>Performs administrative tasks such as maintaining office equipment, managing and preparing for visitors, and preparing facilities for meetings.</li><li>Coordinates activities between departments and outside parties.</li><li>Contacts company personnel at all organizational levels to gather information and prepare reports.</li><li>Conducts light research, analyzes data, determines approach with some guidance, compiles and prepares reports/recommendations.</li><li>Researches and collects part environmental compliance information and enters it into ERP system and/or database.</li><li>Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies, etc.</li><li>Assist with different types (internal, external, ISO, Regulatory) of audits (gathering documents, answering questions on document control, escorting auditors, etc.).</li><li>Prepares other various reports and memorandums.</li></ul>To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
